Add a candidate manually

Add a candidate to a form yourself (e.g. someone you sourced), with or without an email.

What it is

You can add a candidate to a form yourself instead of waiting for them to apply - handy for people you sourced or got via another channel. They show up in the pipeline with the source "Added by admin."

Steps

  1. Open the form's Responses page.
  2. In the toolbar's ··· menu, click Add Candidate.
  3. In the Add candidate dialog, enter the candidate's name, optionally their email, and any answers to the form's questions. The dialog shows the same fields as the columns on the Responses table.
  4. Save. If someone with that email already exists on the form, you'll get a duplicate warning so you can avoid adding them twice.

Fill the fields from a resume

To save typing, upload a PDF résumé to the form's file question. The dialog shows "Autofilling other fields…" while it reads the resume, then fills the name, email, and any other fields it can match, and tells you how many it filled. Fields you already filled are left alone, so check the result before you save.

Autofill reads text-based PDFs, scanned or image-only PDFs, and resume that use unusual fonts. It accepts PDFs only. If it can't match answers to all the form's questions, only match the ones that it can find in the file.

Adding without an email

Email is optional when you add a candidate. But without an email you can't messagethem. You can attach an email later by editing the candidate (open them → edit) and adding it - after that, messaging works.

Editing a candidate

Open a candidate and choose Edit (from the ··· menu) to change their answers in the Edit candidate dialog. It shows the current form fields, plus any question this candidate already answered, including questions removed from the form, so you can still see and edit those answers.

Notes & limits

  • To add many candidates at once, import a CSV instead - see Import candidates into a form.
  • To add someone while you're on their LinkedIn, Gmail, or X page, use the Chrome extension.
  • Anyone with access to the form can add candidates to it.
